Job Description

RESPONSIBILITY AND DUTIES:

 

Safety:

Conduct Safety Induction for visitors

Participate in the office safety program; basic first aid responder

Ensure work is conducted in a safe and efficient manner and that a high level of safety awareness exists in the office environment

 

Controls:

Performs and records inventory management of office supplies, safety award purchases

Maintains office records/files per Management Protection of Information guidelines

Prepares expense statements

 

Execution:

Type highly confidential documents.

Coordinates the overall administrative activities in providing efficient and effective office support services for the contracting and procurement team

Support development of senior management presentations for internal and external audiences

Draft routine memos and reports

Administers of all inbound / outbound mail, filing system, phone receptions

Administer FCPA approvals

Arranges and supports workshops/meetings/conferences

Orients and trains new staff

Provides secretarial functions relating to invoices, personnel work orders, immigration, expense reporting

Arrange travel, accommodation arrangements for VIPs and visitors.

Assist EPC execution teams as required; EPC administration, exception requests

Coordinate with other secretaries regarding reports, appointments, etc

Meet with visitors, screen them and make appointments with Supervisor confirming with his availability and priority.

Track vacation and sick days for team members

 


Requirements

REQUIRED KNOWLEDGE, QUALIFICATIONS, SKILLS, AND EXPERIENCES:

 

COMPETENCIES

Computing:  Expert user of Microsoft PowerPoint, Word and Excel.  Good computing skills

Interpersonal:  Strong interpersonal skills required.  Ability to interface with internal and external parties.  Team player capable of working with multi-national staff, 3rd Party Contractors and all levels of company management, BPMIGAS

Office Management:  Strong organizational skills, filing, document tracking, travel management.

Communication: Excellent Bahasa Indonesia and English communication skills.

 

QUALIFICATIONS

Degree

Experience working directly for senior management

5 years working for a large company in office administration, hotel or airlines

IPES experience desirable

Placement : Jakarta Office
